Setting Up Your Address Book Having to enter an email address every time you send a new email message can be troublesome. Mail servers are so picky. If we miss a letter or accidentally add a space, the message will not be delivered. Fortunately, the Address Book feature available in all webmail and stand-alone email clients can make finding and using the correct address much easier. You will need to consult your email client's Help files for details on how to use your client's address books. Adding Addresses from Received Mail Most email clients allow the users to add the email address of anyone who has sent an email message to you. Often this is done by simply clicking on the sender's email address when when you are reading their message. A little dialog box will appear. Click Add to Address Book and the sender's address will be available the next time you need it. Sometimes the option to add an address to the address book is available as a toolbar button or a menu item. Again, you will need to check your Help files for details. Setting Up a Group Mailing List You can also create a mailing list that will send the same email message to multiple addresses simultaneously. This is a very useful feature if you regularly communicate with colleagues or extended family members. The steps for setting up a mailing list vary from one email client to another so you will want to check your Help files for details. I am beginning to sound like a broken record, aren't I? Check your Help files... Check your Help files... If we were all using the same email clients, I could offer very specific directions but since there are so many different email clients, each with different features and ways of doing things, that just isn't feasible. Using the Address Book It is easy to see how using the address book can make using email more convenient. If you haven't already set up an address book, take a few minutes to do that now. If you already have one, spend a few minutes cleaning it up. Like your Inbox, an Address Book can become cluttered over time. It is a good idea to periodically review and edit the collection. Record the completion date for this assignment in your logbook.
